Step 1: Write down your three biggest headaches
Is it late rent? Empty beds nobody notices? Month-end confusion? Write them on a paper. Whatever tool you pick must fix these three. Everything else is a bonus.
Step 2: Count your beds, buildings and staff
This decides which tools suit you. A 15-bed PG needs something simple. A 120-bed PG across two buildings needs staff logins and reports.

Step 3: Check the price style
Ask how the bill changes when you add beds or buildings. Choose a style you are comfortable with for the next two years, not just next month.
Step 4: Try it with real data
Do not test with made-up names. Add your actual rooms and ten real tenants. Real data shows real problems.
Step 5: Let your manager try it too
If your manager finds it hard, you will end up doing the work yourself. Ask him to add a tenant and record a payment. Watch where he gets stuck.
Step 6: Ask what happens if you leave
Can you cancel any time? Is there a lock-in? A good company is not afraid of that question.
