Collecting tenant KYC can feel like a formality, especially with a tenant who came through a referral. It is not — proper KYC protects you legally and practically, and it is far easier to collect on day one than to chase later.
What KYC documents to collect
At minimum, every PG or hostel should collect:
- A government photo ID (Aadhaar, passport or driving license)
- A recent passport-size photo
- Permanent address and emergency contact details
- Employer or college ID, where applicable
- A signed agreement covering rent, deposit and house rules

Why KYC protects you, not just the tenant
If a tenant leaves without paying, damages property, or is involved in any dispute, proper KYC is what gives you a paper trail — an address to follow up at, an ID to reference, a signed agreement to point to. Many police stations also expect PG owners to maintain tenant records, and having them ready avoids awkward conversations later.

Storing KYC safely
Physical copies get lost, damaged or misfiled, and sharing scanned IDs over WhatsApp is not a safe way to store sensitive documents. KYC should live somewhere searchable and reasonably secure, tied directly to the tenant’s record.
Digitising KYC
PG management software lets you attach KYC documents directly to a tenant’s profile, alongside their rent and stay history, so everything about a tenant is in one place instead of split between a filing folder and your phone gallery.
Want to make this easier? Our PG management software keeps your rooms, tenants and rent in one place, with automatic reminders and reports. See all the features, or start a free 3-day trial.
