“I gave you ₹10,000, remember?” Few things get a PG owner’s blood pressure up like a deposit argument. And nine times out of ten, it comes down to missing records. Let us fix that.
Keep the deposit separate from rent
A deposit is not income. It is the tenant’s money, held by you. Record it separately so it does not get mixed with your rent totals.

What to record at joining
- Deposit amount
- Date received and mode, cash or UPI
- Any rules you agreed, such as notice period

Make the rules clear on day one
Tell the tenant what can be deducted, and when the refund will come. Putting it in simple words avoids misunderstandings at the end.
Refunding properly
At check-out, add up pending rent, fines or damages. Deduct them from the deposit and refund the balance. Record the refund with a date and amount. Both sides can see exactly how the number came about.
Why records protect you
A tenant who sees a clear, dated record rarely argues. And if he does, you have the proof. That is worth more than any amount of friendly talk.
