Most of the paperwork in a PG happens at three moments: when a tenant joins, when he shifts rooms and when he leaves. Get these right, and the rest of the month is easy.

Check-in: do it in two minutes

When a tenant arrives, add his name, phone, KYC and emergency contact. Choose the bed, set the rent and note the deposit. Do it while he is with you, so nothing is left for “later”.

Mid-month joining

Many tenants join on the 14th or 20th. Choose a billing style that handles this, such as join-date cycles, so you are not doing half-month sums on a calculator.

Room changes

A tenant wants a quieter room, or an AC room. Move him in the app. The rent difference is worked out, and the old bed becomes free. No scribbling on the register.

Check-out: the money part

When a tenant leaves, check dues, add any fines or damages, and refund the balance of the deposit. Record it all against his name. A clear record avoids arguments later.
